Who we share it with
The owner of the property you apply for; TPN Credit Bureau; the service providers who run our e-signing, payments, messaging, CRM and hosting, under written agreements; attorneys, conveyancers and auditors working on your matter; and regulators, such as the PPRA and the Financial Intelligence Centre, when the law requires it.
How long we keep it
Documents from applications that do not go ahead are deleted after 90 days. FICA records are kept for at least five years after the relationship or transaction ends. Mandates, leases and trust account records are kept for as long as the Property Practitioners Act and tax law require.
Outside South Africa
Some of our providers store information outside South Africa. We use them only where the protection is at least as strong as POPIA requires.
Keeping it safe
Information is encrypted in transit and at rest, only the people working on your matter can see it, and every change to banking details is confirmed by phone.
Your rights
You can ask what we hold about you, ask us to correct or delete it, object to how we use it, and withdraw your consent. Contact our Information Officer. If you are not satisfied, you can complain to the Information Regulator at POPIAComplaints@inforegulator.org.za or on 010 023 5200.
Applicants
This part of our privacy notice is for people who apply to work with Paragon as property practitioners, through our Careers page or in any other way.
What we collect and why
- Your contact details, where you live and the areas you want to work in, so that we can contact you and see where you would fit.
- Your registration and experience: your PPRA status, Fidelity Fund certificate number, PPRA reference, qualifications and track record, so that we can check that you may practise and plan your support, such as a mentor for candidates.
- Your documents: your CV, your qualification certificates, your FFC certificate and anything else you choose to send, to assess your application.
- Your right to work and fitness to practise: your answers on the fit and proper requirements in section 50 of the Property Practitioners Act, which we must consider before you may practise through Paragon.
- Screening: what we learn from the PPRA's register, your references and a check against the targeted financial sanctions lists, which FIC Directive 8 requires of us as an accountable institution. We check credit or criminal records only with your separate consent.
Who sees it
Only the people at Paragon who handle recruitment, screening and interviews. Your fit and proper answer is stored encrypted. We share information only to check it, for example with the PPRA, your referees or the institution that issued a certificate, and with regulators when the law requires it. Our hosting and email providers process it for us under written agreements.
Two stages of documents
- 1When you apply: only your CV, and your qualifications and FFC certificate if you have them.
- 2Only after we make you an offer: your ID (or passport and work permit), proof of address, banking details with a bank confirmation letter, and your tax number, through secure onboarding in Paragon Desk. Never send these by email or WhatsApp.
How long we keep it
If you are not hired, or you withdraw, we delete your application and documents 90 days after the decision. If you join Paragon, your application becomes part of your staff record, which we keep for 5 years after you leave, or longer where a law requires, and then delete.
Your rights
You can ask what we hold about you, ask us to correct or delete it, object to how we use it, and withdraw your application at any time. Contact our Information Officer at compliance@paragonproperties.co.za. If you are not satisfied, you can complain to the Information Regulator at POPIAComplaints@inforegulator.org.za or on 010 023 5200.

Deposits, trust money and FICA
Deposits and other money we hold for clients are kept in a trust account{{trustAt}}, as section 54 of the Property Practitioners Act requires, and the account is audited every year. A tenant's deposit belongs to the tenant until the lease ends.
Paragon is an accountable institution under the Financial Intelligence Centre Act. Before we act for you, we verify who you are and, where needed, where your money comes from. We may ask for more information, we may not be able to proceed if we cannot verify a client, and we report transactions to the Financial Intelligence Centre as the law requires.
Protect yourself from payment fraud. Paragon will never change its banking details by email or WhatsApp. Before you pay, call 067 923 1976 to confirm the account, and check that the account name reads Paragon Holdings (Pty) Ltd trust account.
